Spreadsheets are a classic way to collate and compare your fleet\u2019s data by:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Keeping track of all vehicle activity<\/li><li>Recording locations, availability, usage, journey start and finish times<\/li><li>Monitoring fuel spend, mileage, private mileage versus business mileage, and emissions<\/li><li>Maintaining documentation, service dates and more<\/li><\/ul>\n\n\n\n<p>Having complete visibility of your fleet by having this data available to you will allow your business to:<\/p>\n\n\n\n<ul class=\"wp-block-list\"><li>Reduce costs<\/li><li>Preserve vehicle health<\/li><li>Improve safety on the road<\/li><\/ul>\n\n\n\n<p>You could record fleet data in a spreadsheet and look for trends that, once identified, could be addressed in order to achieve some of those goals. But there are many reasons why you could need more tools than just traditional spreadsheets to successfully manage your fleet.<\/p>\n<\/div>\n<\/div>\n\n\n\n<h2 class=\"wp-block-heading\">The pitfalls of spreadsheets\u200b<\/h2>\n\n\n\n<p>Exclusively using spreadsheets to keep track of your fleet\u2019s data can present problems, especially for fleets with a larger number of vehicles. Also, if multiple people have editing access to your spreadsheets, your formulas could accidentally be broken, or you could even lose data through human error. Spreadsheets are notoriously difficult to protect; this could nullify any data protection policy you may have in place.<\/li><li>Inconvenient. The last thing you want to do when you have customers waiting for information is to sift through endless rows of a spreadsheet. But there are other inconveniences with spreadsheet use, such as the lack of an audit trail or way to check what happened on certain dates.
